Understanding Event Statuses

Events move through different statuses in their lifecycle:
Draft
- 📝 Event is being created or edited
- Not visible to participants
- Not searchable or listed publicly
- Can be edited freely
- No registrations possible
Pending
- ⏳ Submitted for admin review
- Not yet publicly visible
- Under quality and compliance check
- You'll receive email when status changes
- Can still be edited (with admin notification)
Published
- ✅ Live and accepting registrations
- Publicly searchable and listed
- Appears in event calendar
- Can receive participant registrations
- Changes require approval
Cancelled
- ❌ Event has been cancelled
- No longer accepting registrations
- Marked as cancelled on listing
- Existing participants notified
- Refund process initiated (if applicable)
Completed
- 🏁 Event has taken place
- No longer accepting registrations
- Moves to "Past Events" section
- Financial settlement in progress
- Participant history retained
Status Workflow
Typical event lifecycle:
Draft → Pending → Published → Completed
From Draft to Published
- Create: Event starts as Draft
- Complete: Fill in all required information
- Submit: Click "Submit for Approval" → Status changes to Pending
- Review: Admin reviews (typically 24-48 hours)
- Approve: Admin approves → Status changes to Published
- Live: Event accepts registrations until event date
- Complete: Automatically marked Completed after event date
Alternative Paths
- Rejected: Admin may reject and request changes (returns to Draft)
- Cancelled: You or admin can cancel at any time
Status-Based Actions
What You Can Do in Each Status
| Status | Available Actions |
|---|---|
| Draft | Edit, Delete, Submit for Approval |
| Pending | Edit (notifies admin), Cancel submission, View comments |
| Published | Request changes, View participants, Cancel event |
| Cancelled | View details, Process refunds (read-only) |
| Completed | View reports, Export data (read-only) |
💡 Tip: Track your event status on the main Events dashboard. Each status has a colored badge for easy identification.
