What are Tickets?

Every participant receives a digital ticket after registration:

Ticket Contents

  • Participant name
  • Event name and date
  • Distance/Category
  • Unique ticket/bib number
  • QR code for check-in
  • Event location and details
  • Emergency contact info

How Tickets are Delivered

  • 📧 Email attachment (PDF)
  • 📱 WhatsApp message with link
  • 🌐 Participant dashboard download
  • Sent immediately after successful payment

💡 Automatic: Tickets are generated and sent automatically. No manual work required from you!

Ticket/Bib Numbers

Automatic Assignment

Ticket numbers are assigned automatically:

  • Sequential numbering within each distance
  • Unique per event
  • Cannot be changed once assigned
  • Used for race day identification

Numbering System

How numbers are assigned:

  • First-come-first-served: Lower numbers for early registrants
  • By distance: Different number ranges per distance (optional)
  • Continuous: Numbers increment as registrations come in

Custom Numbering

You can customize:

  • Starting number for each distance
  • Number ranges (e.g., 1-100 for 5km, 101-200 for 10km)
  • Reserved numbers for VIPs or sponsors

Viewing Assigned Numbers

  1. Go to event's Participants tab
  2. See ticket numbers in the list
  3. Export with numbers for bib printing
  4. Search by number to find specific participant

QR Codes

What QR Codes Do

Each ticket includes a unique QR code that:

  • Contains encrypted participant data
  • Verifies ticket authenticity
  • Speeds up race day check-in
  • Prevents fraud/fake tickets

Race Day Check-In

Using QR codes for check-in:

  1. Participant shows ticket (printed or on phone)
  2. Scan QR code with mobile device
  3. System instantly verifies registration
  4. Shows participant details
  5. Marks as checked in

Benefits of QR Codes

  • ⚡ Fast check-in (< 5 seconds per participant)
  • ✅ Prevents duplicate entries
  • 📊 Track check-in rate in real-time
  • 🔒 Secure (can't be forged)
  • 📱 Works offline (data cached locally)

Lost Tickets

If a participant loses their ticket:

  1. They can log in to participant dashboard
  2. Download ticket again
  3. Or you can resend via email/WhatsApp
  4. Same QR code, same ticket number

✅ Best Practice: Remind participants to have tickets ready (printed or on phone) for fast race day check-in.

Ticket Design

Tickets automatically include:

  • Your organiser logo
  • Event branding
  • Professional layout
  • Clear, readable fonts
  • Print-friendly format

Merchandise on Tickets

If participant ordered merchandise:

  • Listed on their ticket
  • Shows items, sizes, quantities
  • Use for merchandise distribution on race day
