Adding Merchandise Items

In your event creation/edit form:

  1. Scroll to the Merchandise section
  2. Click "Add Merchandise Item"
  3. Fill in the details:
    • Item Name: Clear, descriptive name
    • Description: Details about material, fit, features
    • Price: Cost per item
    • Base Stock: Total quantity available
    • Image: High-quality product photo (optional but recommended)
  4. Click "Save Item"

💡 Pro Tip: Items with clear images sell 3x more than those without!

Setting Up Variations

For items with multiple options (sizes, colors, etc.):

Creating a Variation

  1. Click "Add Variation" on your merchandise item
  2. Name your variation type:
    • "Size" for clothing
    • "Color" for colored items
    • "Type" for different product types
  3. Add variation options
  4. Set stock quantity for each option

Common Variations

Variation Type Options
Size XS, S, M, L, XL, XXL, XXXL
Color Black, White, Blue, Red, Green, etc.
Gender Men's, Women's, Unisex

Stock Per Variation

Each variation option has its own stock:

  • Set individual quantities (e.g., 50x Small, 100x Medium, 50x Large)
  • System tracks availability in real-time
  • Auto-hides sold-out options
  • Shows remaining stock to create urgency

Managing Stock

Initial Stock

When adding merchandise:

  • Base Stock: Total quantity for items without variations
  • Variation Stock: Per-option quantities for items with variations

Real-Time Tracking

The system automatically:

  • ✅ Decreases stock with each purchase
  • ✅ Prevents overselling
  • ✅ Shows current availability to participants
  • ✅ Displays "Low Stock" warnings
  • ✅ Marks items as "Sold Out" when depleted

Updating Stock

If you need to add more inventory:

  1. Go to your event's edit page
  2. Scroll to merchandise section
  3. Update the stock quantities
  4. Save changes

⚠️ Important: You cannot decrease stock below already-sold quantities. The system protects existing orders.

Pricing Strategy

When pricing merchandise:

  • Cover your costs (item + printing + shipping)
  • Add reasonable profit margin (20-40%)
  • Consider bulk discount from supplier
  • Platform commission applies to merchandise sales
  • Competitive with retail but positioned as "exclusive"
