The system automatically tracks merchandise inventory:
Real-Time Updates
- Stock decreases immediately with each purchase
- View current stock in event dashboard
- See sold vs remaining for each item
- Track by variation (size/color)
Stock Status Indicators
| Status | Meaning | Action |
|---|---|---|
| In Stock | Plenty available (> 10) | None needed |
| Low Stock | Running low (1-10) | Consider reordering |
| Sold Out | No stock (0) | Hidden from participants |
Low Stock Alerts
Automatic Notifications
You'll receive alerts when:
- 📧 Item reaches low stock threshold (< 10)
- 📧 Specific variation sells out
- 📧 Popular item selling faster than expected
Participant Experience
Participants see:
- In Stock: Normal display
- Low Stock: "Only X left!" urgency message
- Sold Out: Option hidden or grayed out
💡 Sales Tip: Low stock messages create urgency and often increase conversion rates!
Updating Stock
Adding More Stock
When you receive more inventory:
- Go to event edit page
- Find merchandise section
- Click item to expand
- Update stock quantities
- Click "Save"
- Changes reflect immediately
Stock Adjustments
You can:
- ✅ Increase stock (add new inventory)
- ✅ Adjust for damaged/lost items
- ❌ Cannot decrease below sold quantity
Bulk Stock Updates
For items with variations:
- Update each variation individually
- Or update base stock (distributes evenly)
- System prevents conflicts
Pre-Event Planning
Best practices:
- Order 10-15% more than projected sales
- Order popular sizes (M/L) at 2:1 ratio vs extreme sizes
- Have backup supplier for rush orders
- Set conservative initial stock, add more later
- Track sales velocity to forecast final needs
✅ Best Practice: Monitor stock weekly during registration period. Reorder when items hit 20% remaining.
Post-Event Stock
After your event:
- Export merchandise sales report
- Calculate remaining inventory
- Sell extras at next event
- Or offer post-event sales online
