How to Create an Event

Getting Started

Creating an event on Starting Line is straightforward. Navigate to your dashboard and click "Create Event" or go to Events > Create Event.

Event Details

Basic Information

Field Description Required
Event Name The name of your event as it will appear to participants ✅ Yes
Category Road Cycling, Mountain Biking, Road Running, Trail Running, Triathlon, Duathlon, Swimming, Other ✅ Yes
Start Date When your event begins ✅ Yes
Start Time Event start time (you can set different times for each distance) ✅ Yes
End Date For multi-day events only ❌ Optional

Location Details

  • Venue Name: e.g., "Century City Sports Complex"
  • Full Address: Complete address for navigation
  • City: City name
  • Province: Select from dropdown
  • Country: Defaults to South Africa

Event Description

Your description should include:

  • Overview of the event
  • Route description and terrain
  • What's included (medals, refreshments, etc.)
  • Parking information
  • Special instructions or requirements
  • Contact information for queries

💡 Pro Tip: Events with detailed descriptions and quality images get 3x more registrations!

Distances & Pricing

You must add at least one distance to your event. Click "Add Distance":

Distance Configuration

  • Distance Name: Descriptive name (e.g., "10km Challenge", "Elite 100km")
  • Distance (km): Actual distance participants will cover
  • Price (R): Registration fee in South African Rands
  • Entry Limit: Maximum number of participants (leave empty for unlimited)
  • Minimum Age: Age restriction if required
  • Start Time: Custom start time for this distance (optional)

Special Pricing

  • Free for Seniors (65+): Toggle to waive fees for senior citizens
  • Free for Disability: Toggle to waive fees for participants with disabilities

You can add multiple distances by clicking "Add Another Distance".

Adding Merchandise

Boost your event revenue by offering merchandise:

  1. Scroll to the Merchandise section
  2. Click "Add Merchandise Item"
  3. Fill in:
    • Item Name: e.g., "Event T-Shirt"
    • Description: Details about the item
    • Price: Cost per item
    • Base Stock: Total quantity available
    • Image: Product photo (optional)

Size/Color Variations

For items with variations (sizes, colors):

  1. Click "Add Variation"
  2. Name your variation (e.g., "Size", "Color")
  3. Add options:
    • For Size: XS, S, M, L, XL, XXL
    • For Color: Red, Blue, Black, etc.
  4. Each option can have its own stock quantity

💰 Revenue Boost: Events with merchandise typically earn 25% more revenue!

Event Images

Images make your event stand out:

Primary Image

  • This is the main image shown on event listings
  • Recommended size: 1200x630px
  • Should showcase your event or route

Gallery Images

  • Add up to 5 additional images
  • Show different aspects: route, facilities, past events
  • Supports JPG and PNG formats

License Requirements

If your event requires participants to have a valid license:

  1. Toggle "License Required"
  2. Add License Details explaining what's needed
  3. Set Temporary License Fee if you offer temp licenses

The system will:

  • Check if participants have valid licenses
  • Offer temporary license purchase during registration
  • Track license validity automatically

Saving Your Event

You have two options:

  • Save as Draft: Save your progress and continue later
  • Submit for Approval: Submit for admin review and publication

⚠️ Important: Once submitted for approval, you can still make changes, but admins will be notified of any modifications.
