Payout Schedule

Payouts occur automatically after your event:

Standard Payout Timeline

🗓️ 7 Days Post-Event

Payouts are processed 7 calendar days after your event date.

Why 7 Days?

The waiting period allows for:

  • Event Completion: Ensure event actually took place
  • Refund Window: Handle any last-minute participant issues
  • Dispute Resolution: Address any complaints or concerns
  • Quality Control: Verify event was delivered as promised
  • Bank Clearing: Ensure all funds are fully settled

Payout Calculation

Your payout includes:

Gross Revenue (all participant payments)

MINUS

Processing Fees (2.65% - 2.85%)

MINUS

Platform Commission (2.50% - 4.00%)

MINUS

Refunds (if any)

EQUALS

Your Net Payout

Example Payout

Event: Trail Run on January 15, 2025

Gross Revenue: R125,000

Processing Fee (2.85%): -R3,563

Commission (4.00%): -R5,000

Refunds: -R2,000


Net Payout: R114,437

Payout Date: January 22, 2025 (7 days post-event)

Payout Process

Automatic Processing

  1. Day 0: Your event takes place
  2. Day 1-6: Refund/dispute window
  3. Day 7: Payout automatically initiated
  4. Day 7-9: Bank transfer processing (1-2 business days)
  5. Day 8-10: Funds appear in your account

Notifications

You'll receive:

  • 📧 Email when payout is initiated
  • 📧 Email when payout completes
  • 💰 Payout reference number
  • 📊 Detailed payout statement

Payout Statement

Your statement includes:

  • Complete revenue breakdown
  • List of all registrations
  • Fee calculations
  • Refund details (if any)
  • Bank reference number

Banking Details

Required Information

Ensure your profile has complete banking details:

  • ✅ Bank name
  • ✅ Account holder name
  • ✅ Account number
  • ✅ Branch code
  • ✅ Account type (Cheque/Savings)

⚠️ Important: Payouts will be delayed if your banking details are incomplete or incorrect!

Updating Banking Details

To update your details:

  1. Go to Profile Settings
  2. Click Banking Information
  3. Update your details
  4. Click Save Changes
  5. Admin verification (24-48 hours)

Business vs Personal Accounts

You can use either:

  • Business Account: Recommended for regular organisers
  • Personal Account: Acceptable for small/occasional events
  • Note: Account holder name must match your registered name

Common Issues

Payout Delays

Payouts may be delayed if:

Issue Solution
Incomplete banking details Complete your profile banking information
Incorrect account number Update and reverify banking details
Pending disputes Resolve participant complaints
Event cancellation Process refunds before payout
Bank holidays Transfers resume on next business day

Missing Payouts

If your payout doesn't arrive:

  1. Check your email for payout notification
  2. Verify banking details are correct
  3. Allow 1-2 business days for bank processing
  4. Check with your bank (they may hold the transfer)
  5. Contact support if still not received after 3 business days

Partial Payouts

Payouts may be reduced due to:

  • Refunds processed after event
  • Chargebacks or disputes
  • Adjustments for previous errors
  • All adjustments explained in payout statement

Multiple Events

If you have multiple events:

  • Each event paid out separately
  • Each on its own 7-day schedule
  • Separate payout statements
  • Separate bank references

💡 Pro Tip: Plan your cash flow knowing payouts arrive ~10 days after the event. Pay suppliers accordingly!
